09-05-1985 -,..: u v CITY OF EDGEWATER INDUSTRIAL DEVELOPMENT BOARD SEPTEMBER 5, 1985 MINUTES Chairman Doris Massey called the regular meeting to order at 7:00 P.M., in the Community Center building. ROLL CALL Members present: Mrs. Doris Massey, Mrs. Caryl Middleton, Messrs. Ralph Racca, Clarence Gnau, Edward Siconolfi. Excused: Messrs. John Vazquez and Darwin Schneider. Also present: Susan Wadsworth, Deputy City Clerk, Susan Butler, secretary, Mr. John Coffee and Kathy Vaughn of the News Journal. APPROVAL OF MINUTES A motion was made by Mr. Clarence Gnau to approve the minutes of August 1, 1985, Regular Meeting, seconded by Mr. Edward Siconolfi. Motion CARRIED 5-0. OLD BUSINESS Industrial Appreciation Week Mrs. Massey stated that the Department of Commerce's Monthly News Letter is now called Commerce Communications and the Industrial Development Board is in their Region III. Mrs. Massey informed the Board that Coronado Paint Company of Edgewater, which they had nominated for the 1985 Florida Industry Appreciation Program, was one of the top ten finalists. Mrs. Massey said that the Board would have their recognition for them at the September 21, 1985, Edgewater Industrial Fair. Mr. John Coffee, the STS Supervisor for the City of New Smyrna Beach, was present to discuss the uses of the busses at the Industrial Fair. Mr. Coffee stated that he would have two busses available for use at the Fair. He explained that one bus would be a twenty-three passenger and the other would be a nineteen passenger with the wheelchair lift, in case transportation for the handicapped was needed. Mrs. Massey explained to Mr. Coffee that the Opening Ceremony of the Fair would begin at 10:00 A.M., subject to the Board's approval. She continued by saying that the busses would be scheduled to depart at approximately 10:30 A.M. Mrs. Massey said that the proposed route for the Tour would begin with Tropical Blossom Honey Company, if they were agreeable to being included. Mrs. Massey explained that the bus would then go down Park Avenue and maybe just drive by Tarmac and then drive down to Edgewater Machine and Fabricating. She said the bus would not stop at Edgewater Machine and Fabricating, but just turn around and go west to Waco or travel down to the warehouses and Volusia Truss Company. She said the bus would then go back to Waco and stop and give a short two minute speech. Mrs. Massey said the bus would then go to Atlantic Properties, which has about twelve Industries and possibly stop there for a tour of the businesses and also tour Coronado Paint for approximately thirty minutes. She said the bus would then go to Aqua Park and then possibly travel to Noland Car. Mrs. Massey continued by explaining that Southern Instruments also wanted to be included in the bus tour, so the bus would travel by there and then go down Roberts Road and come back up. Mrs. Massey pointed out that this was the proposed itinerary, which needed the Board's approval. After a brief discussion, the Board gave their approval. Mr. Coffee asked the Board if they had traveled this proposed route, to which Mrs. Massey replied no, and she apologized. Mr. Coffee suggested that someone from the Board ride the bus tour to narrate enroute between businesses, also to supervise the tours of the businesses. The Board assured Mr. Coffee that this was their intended plan. Mr. Coffee also suggested that they could omit one of the Companies at the end of the Tour by advising the bus driver to return, if time became a problem. Mr. Coffee specified that the bus route schedule could either make-up time or lose time. u ~ Mrs. Massey stated that they had not received a commitment from Noland Car; but, she would advise him if they were to be included in the Bus Tour. The Board then discussed who was going to narrate the Tour. It was decided that John Vazquez and Darwin Schneider would be the narrators. Mrs. Massey said that data for the narrative script was needed and she asked Mr. Racca for his assistance. Mr. Racca, being a new member on the Board, asked for more information about the Fair. In a brief discussion, members of the Board summarized the proposed events of the Fair. Mr. Gnau suggested that two members of the Board, who were going to be guides on the Tour, get together in one car and rehearse the script while driving the Tour route. Mr. Coffee said that he would personally like to be included in the practice Tour run, so that he could instruct his driver of the sequence of events, to assure the success of the Tour. Mrs. Massey stated that a printed map would also be supplied to Mr. Coffee. Mr. Coffee declared that he would be available any day the following week for the practice Tour run. Mrs. Massey recounted with Mr. Coffee the cost of the two busses was one-hundred dollars ($100.00) each for five hours. Mr. Coffee agreed and specified the charge was twenty dollars ($20.00) an hour, or prorated for less than an hour. Mrs. Massey stated that the next topic to be discussed was food for the reception. Mrs. Middleton stated that some of the suggestions for food could be added to or subtracted from. She said the list of food included finger sandwiches; a vegetable tray with dip; a fruit tray and dip; relish tray with pickles, nuts and mints; a decorated cake with Edgewater Industrial Appreciation Week written on it; coffee and punch. Mrs. Massey asked Mrs. Middleton if she had any figures on how much was needed, to which she replied no. Mrs. Middleton said she hadn't heard just how many people would be attending. Mrs. Massey asked Mrs. Middleton and Mrs. Butler if they could contact the businesses and ask them if they wanted to set up a table and how many would be there for the reception. The Board also discussed who would get a Certificate of Appreciation and when they would be given. It was decided that anyone who participated would receive a Certificate of Appreciation and they should be awarded at the reception at 4:00 P.M. The Board had an extensive discussion about the letters that were sent to businesses inviting them to set up a booth or table for display and which businesses replied. It was decided that follow-up phone calls would be made to determine who would be participating with booths. Mr. Gnau informed the Board that the Firemen were planning on participating with setting up a trailer to sell coffee, soft drinks, hot dogs, etc. The Board then participated in an extensive discussion about ways to advertise the Fair. Mr. Siconolfi advised the Board that the cost of purchasing a banner to go across the road was more than their budget. Mrs. Middleton said that Quik Print could print the programs. She suggested that the top of the program could read Industrial Appreciation Fair for the City of Edgewater Industries; then have the date, Saturday, September 21, 1985, Edgewater Community Center; then list the various firms; time from 10:00 A.M. to 3:00 P.M.; then underneath that put Program. She said that included in the Program would be the Proclamation by Mayor Earl Baugh at 10:00 A.M.; presenta- tion of the Certificate to Coronado Paint Company, Inc. by guest speaker Mr. Michael Bobroff, from the Department of Commerce, Winter Park, Florida; at 10:30 A.M. -2- Industrial Development Board September 5, 1985 ~ v ~ the first Bus Tour and 12:30 P.M. the second Bus Tour; and last the Fair closes at 3:00 P.M. Mrs. Massey suggested that Industrial Booths in the Community Center could be included. The Board also decided that Bus Tours to Industrial Firms should be included in the Program. Mrs. Middleton asked how many Programs would be needed and the Board determined five hundred. The Board asked Susan Wadsworth if advertisement about the Industrial Fair could be printed on the back of the water billings. Mrs. Wadsworth said that it could be printed on the September 14, 1985, water billings. Mrs. Middleton asked Mrs. Massey if she needed to contact Coronado Paint Company. Mrs. Massey said only as a courtesy, because they have answered that they would be happy to conduct guided tours. Mrs. Middleton said that she would contact all the companies to see how much room they would need for their displays. Mrs. Massey then briefly discussed making up badges for the people from the firms participating in the Fair. Mrs. Middleton then discussed the amount of food that would be needed at the Reception. The Board then briefly discussed inviting CLty Officials and City employees, financial institutions and the news media. Last topic for discussion was Daytona Beach Community College's Better Boards Course. There being no further business to come before the Board, upon motion made by Mrs. Middleton, the meeting was adjourned at 8:10 P.M.
