01-11-2012 CITY OF EDGEWATER – SCHOOL SCHOLARSHIP COMITTEE REGULAR MEETING January 11, 2012 5:00 P.M. Council Chambers MINUTES 1.CALL TO ORDER Chairman Kennedy called the School Scholarship Committee meeting to order at 5:09 p.m. in Council Chambers. 2.ROLL CALL Councilman Justin Kennedy Present Vance Smith Present Mike Kelly Present Joe Rawlings Present Also present was City Clerk Bonnie Wenzel. 3.APPROVAL OF MINUTES – None at this time. 4.OLD BUSINESS a.Update on final arrangements for father/daughter fundraiser dance. Chairman Kennedy stated that Mr. Kelly has secured the DJ and that most schools have tickets to sell and flyers. He added that BJ’s Flowers will provide corsages and boutonnieres for $2.50, they will sell for $5/pair, each PTA that sells them will get $1.25 and the scholarship fund will get $1.25 Chairman Kennedy informed the Committee that 400 tickets have been given to the schools. He stated there has been good reception so far and that the YMCA and City Hall are also selling tickets. He stated that the teachers will decorate for the dance. Chairman Kennedy asked Mr. Smith if he was ok with 1,000 people and nuggets. Mr. Smith stated he could donated 1,000 nuggets. Chairman Kennedy stated he would re-assess tickets sales in a few days. He added that he was doing well on budget so far. Chairman Kennedy stated that the American Legion has donated money for prizes, the YMCA will donate two temporary memberships and the ShowDolls will perform. He added that the PTA’s will have tables set up and hopefully CAPS will be there to help out. Mr. Rawlings stated there would probably not be many middle school girls there. He added that he would promo the dance on his radio show. Chairman Kennedy stated he has submitted the flyer to the Volusia County School Board for approval. Mr. Smith asked how many tables they were planning on having. Chairman Kennedy stated he didn’t think many and added that the YMCA has plenty of tables. He stated to let the decorating committee deal with that. 1 School Scholarship Committee January 11, 2012 Mr. Kelly asked about decorating for the dance. Chairman Kennedy stated he has several people willing to help and that the drama and art departments from the High School may help also. Mr. Kelly stated he would bring tables. Chairman Kennedy stated they would decorate on Saturday. Mr. Smith asked what time. Mr. Kelly stated they would have to set up early and go back. Chairman Kennedy stated he would find out what time and let City Clerk Wenzel know. Mr. Rawlings informed the Committee he would not be able to attend the dance due to a scheduling conflict. 5.NEW BUSINESS a.Discussion of booth at the Edgewater Expo and the NSB Home Show on 1/21/12 Chairman Kennedy asked when the Expo was. City Clerk Wenzel informed the Committee that the Expo was March 31 – April 1, however the business portion of the expo would be on March 30 from 10-4. Chairman Kennedy informed the Committee of how the Expo was going to work. He stated they would be having entertainment and shutting down Riverside Drive. There would be a carnival. The Expo portion will have booths. He suggested the Committee have a booth at the Expo and get a petting zoo. This will attract people to their booth and they can hand them a brochure. He asked if everyone got a brochure that City Clerk Wenzel made. Individuals can sign up for donations at the booth. Chairman Kennedy stated they could pay for the petting zoo, either pay the flat fee, or find someone who would charge $1 entrance. If the committee paid for the zoo then charge like $.50 or have a donation box. There was discussion regarding the diseases caused by petting zoos. Chairman Kennedy also suggested pony rides. He asked for other ideas and stated he wanted to have a booth there. City Clerk Wenzel stated the Committee could piggyback onto the City’s booth. Chairman Kennedy stated the Expo people work well with the City. Councilman Kennedy suggested that if someone signs up for a recurring amount on their water bill you get free entrance into the petting zoo.
