CITY OF EDGEWATER LIBRARY BOARD
JANUARY 2, 1991 MEETING
MINUTES
CALL TO ORDER
Chairman Mary Rice called the meeting to order at 1: 33 p.m. in the
Edgewater Library.
ROLL CALL
Present were: Mary Rice, Jean Haughwout, and Lilian Bond-Nelson. Jan
Dudley and Lauretta Shafer were excused. Also present was Gayle Harmon,
Librarian.
APPROVAL OF THE MINUTES
December 4, 1990 - Mrs. Rice called attention to an error on page 3
where the name "Lane" should have been "O'Lone". Mrs. Haughwout moved
they approve the minutes with the correction that Mrs. Rice made. Mrs.
Bond-Nelson seconded the motion. The minutes were accepted with the
correction.
REPORT OF THE LIBRARIAN
Mrs. Harmon stated she doesn't have a statistical report yet. She said
it will be printed on the computer and they started with the computer
system December 10th and there's a lot of new things for a lot of people
to remember. She added they're doing well and have gone completely to
the computerized system. She said most books were bar coded, although
some weren't entered, and it's very quick and efficient and they'll be
very happy with it when they become more comfortable with it. Mrs.
Bond-Nelson asked if they have to check with them when they come in.
Mrs. Harmon replied it's still a card catalog and it will be a couple
of years before it's an automated card catalog and they can look on the
computer for them. She pointed out only those that were entered will
be on the computer. Mrs. Haughwout asked if they're still being
entered. Mr. Harmon replied yes, and now it's a dual system. Mrs.
Haughwout asked if it's basically used for check out. Mrs. Harmon
explained it's check in and check out and they're using it for new
people. She noted they can also see if another library has the
material requested and can put a reserve on a book and it will be sent
to us. She said they had problems in the past with delinquent fines on
books and it now will come up with the new system if it's at another
library. Mrs. Haughwout asked if they can get delinquent notices out
more quickly. Mrs. Harmon replied they don' t do overdue notices
anymore, Daytona Beach does it and it's one large system that takes care
of the mailing of notices. She explained after a few days they get a
list and can check the shelves to see if they accidentally got it back
on the shelf without getting it cleared, and they can call and remind
them to get it in. She added they also get a clearance report. Mrs.
Bond-Nelson asked if the fine is still paid here. Mrs. Harmon replied
yes, and pointed out that when people put them in the book drop with
money due, it will automatically add it to their record and when it
exceeds a certain amount then they have to pay on it or the machine
won't proceed. Mrs. Bond-Nelson asked if the deposit is checked every
day. Mrs. Harmon replied yes. Mrs. Harmon stated she feels they're
doing well with it and it was a very big undertaking with an inventory
of over 24,000 items. Mrs. Rice asked if there have been any
complaints. Mrs. Harmon replied no, adding it's so easy to check books
in now.
COMMUNICATIONS
Mrs. Rice stated each Board member received a letter from Susan
Wadsworth about sending in the information about themselves for the new
Council to know more about them.

UNFINISHED BUSINESS
There was brief discussion regarding setting a
Engineer regarding the Library parking lot.

NEW BUSINESS
Discussion of Volunteer Appreciation luncheon - Mrs. Rice asked if they
felt the number is getting to high to handle it. After discussion, it
was agreed to continue the appreciation luncheon and that it would be
held April 10th at 12:30 p.m. at the Library. It was also agreed to
invite Sue Habel, Jim Wheeler, Pat Young, Lois Brickley, the County
Council representative, and our Mayor. Mrs. Bond-Nelson asked if
they'll get County money again. Mrs. Harmon explained they have to
request it after the event and then they reimburse. Mrs. Rice noted it
was $3.00 for each guest before. It was agreed not to change the menu
except for quantities of the different meats. Each member stated what
she'd bring and it was noted that Mrs. Dudley usually provides funds.
Mrs. Rice said she'd contact Mrs. Shafer to see what she'd bring. Mrs.
Harmon agreed to handle invitations again, with Mrs. Rice offering
assistance.
Expiration of terms of Lauretta Shafer and Jan Dudlev - Mrs. Rice stated
the terms of Jan Dudley and Lauretta Shafer expire February 4th and they
sent in their applications for renewals. She noted it will depend on
what Council wants to do but she'd be pleased to have them stay. It was
agreed to write a letter of endorsement to the Mayor and Council to
support the reappointments.
MISCELLANEOUS
Mrs Rice stated Library Day is March 20th and she assumes several will
be sent and she'll contact City Hall. She said they received quite a
bit of information from Jim Wheeler and Gene Allison regarding Library
Day and she'll fill out the form. Mrs. Bond-Nelson noted the Friends
will pay for extra people. Mrs. Rice stated Anne Ryan had to resign
from the Friends because of another commitment and she'll be missed.
Mrs. Rice announced the next meeting will be March 6th and the luncheon
will be April 10th.
ADJOURNMENT
Mrs. Haughwout moved to adjourn. Mrs. Bond-Nelson seconded the motion.
Meeting was adjourned at 2:05 p.m.
