Roll Call Present- Chairman Mike Kelly; Christine Power and Rebecca Porter Absent-Justin Kennedy and Vance Smith Also Present- Councilman Dan Blazi and Board Coordinator Mitch Honaker 3. Approval of Minutes a. AR-2014-566 Regular Meeting -October 7,2014 A motion was made by Member Porter, second by Member Power, to approve the minutes of October 7, 2014 as read. The MOTION was APPROVED by the following vote: Yes: 3- Mike Kelly,Rebecca Porter,and Christine Power Absent: 2- Justin Kennedy,and Vance Smith 4. Old Business-None at this time. Chair Kelly stated that even though the agenda says there is no Old Business, a former Edgewater student who was selected to receive a scholarship award, but not able to attend college at the time the original scholarship was awarded wanted to address the board. Diquan L. Simon, 3424 Mango Tree Drive discussed fulfilling his entry level military obligation before being able to attend college; he has finished his initial training with the Florida Army National Guard, is attending Daytona State College; and asked if his initial scholarship funds were still available. The board discussed the original 2012 school scholarship award of $2,500.00 that was awarded for Mr. Simon to attend college; the distribution of $1,250.00 to New Smyrna Beach High School; Mr. Simon being a deserving student and soldier who the board would like to grant a scholarship; and the amount to be awarded to Mr. Simon to assist him in funding his education. A motion was made by Member Porter, second by Member Power, to approve a scholarship award of $1,250.00 and to look into the disribution of the first $1,250.00. New Business a. AR-2014-567 Election of Chairman and Vice Chairman. A motion was made by Member Power, second by Member Porter, to reappoint Chair Mike Kelly for another term. AR-2014-568 Discussion of final plans for the 2015 Princess Ball. The School Scholarship Committee discussed the final plans for the 2105 Princess Ball scheduled for January 31, 2015,from 7:00 to 9:00 p.m. Chair Kelly made a presentation, reviewing each item on the powerpoint slides with SSC members and Councilman Blazi. During the presentation the Committee discussed the snack menu; beverages; Leisure Services setting up and returning tables; the benefit of having the YMCA gym available for set up for the entire day; the good reviews received from those who have use DJ Clai Parker at their events; the process that the photographer will use to support the Princess Ball; vendors and the items they will be selling; and not charging for water at the Princess Ball. Councilman Blazi discussed possibly using the same bottled water company that the City uses for the next Princess Ball. The Committee discussed past arrangements for flowers; the benefit of having BJs Flowers support this year's Princess Ball; distribution of over 2,700 flyers to area schools; the mailing of 23 sponsor letters to local businesses; Councilman Blazi volunteering to head up decorating the gym for the Princess Ball; and Member Smith providing helium to inflate the balloons. Chair Kelly asked Councilman Blazi if he had any comments concerning decorations, and Councilman Blazi replied that he would try to get as many students as possible to support the Princess Ball so they can earn their community service hours. The Committee and Councilman Blazi also discussed Member Porter and Councilman Blazi coordinating to get students to dress as princesses; Finance Director McKinney and his wife will be working the cash door and one of the volunteers will work the pre paid ticket door to avoid a City of Edgewater Page 2 Printed on 311712015 School Scholarship Committee Meeting Minutes January 6,2015 bottleneck at the entrance; raffle donations, when to turn raffle donations; using the Princess Ball ticket as the raffle stub; Member Power provided a $50.00 gift certificate from Applause Salon for the raffle; and the Committee and Member Kennedy not purchasing or donating soda since the PTAs are already selling beverages. Also discussed was SSC member attendance at the Princess Ball, and the May 2, 2015 Edgefest; donations from the May 2, 2015 Edgefest going to the scholarship fund,- the purchase of decorations; trying to have the gym decorated similar to past Princess Ball events; the Committee having $400.00 for decorations; trying to purchase some decorations that can be reused each year for the Princess Ball; gym lights being set too bright for the Princess Ball; contacting the YMCA to inquire about having the gym lights dimmed during the Princess Ball to provide a dance floor effect; past gym set up for the Princess Ball; Leisure services making sure the floor covering is put down; current SSC funds, remaining funds after Princess Ball expenses and prior scholarship award obligations; preparation, review and distribution of the Princess Ball sponsor letter; Deputy City Clerk Mitch Honaker being the Princess Ball event liaison; not being able to have an operational meeting unless the meeting has a published agenda and is noticed in accordance with the Sunshine Law; Councilman Blazi said he will be at the gym around 9:00 a.m. to start decorating; and Chair Kelly stated to coordinate through the Liaison for when everyone will arrive at the gym on January 31, 2015 to decorate and set up for the event. The Committee also discussed types and dollar amount of items to collect for the raffle; collecting and donating items for the raffle; the raffle being a separate fund raiser for the SSC fund,- and turning raffle items into the City Clerks office before the Princess Ball. 6.
